How to Plan a Company Holiday Party in Boston (2026 Checklist)
If you're the person who got handed the holiday party this year, this is the order to do things in. I've worked hundreds of these across Boston and the Merrimack Valley, and the same handful of decisions determine whether people stay past dessert.
Book in this order
- Date and venue first — the second and third weekends of December go earliest
- Entertainment and program audio next, from one vendor if possible
- Catering and bar package
- Photography or photo booth
- Décor and any branded lighting
Realistic budget ranges
In the Boston market, entertainment for a 100–300 person holiday party generally runs $2,200 to $6,500 depending on hours, room size, staging, and whether you need mics and audio for awards and speeches. Weeknights and the first week of December are meaningfully cheaper than a mid-December Saturday.
Build a real run-of-show
Write down the minute you want dinner to end, awards to start, and dancing to begin — then protect it. The most common failure at a work party is a program that runs 40 minutes long, so the dance floor never gets going before people leave for the T.
Set a music policy up front
- Clean edits only, unless leadership explicitly says otherwise
- Start with Motown, soul and classic pop so the older half of the room engages early
- Move into 80s/90s and current Top 40 after the program
- Ask HR whether requests are open to everyone or funneled through one contact
Mistakes to avoid
- Booking a band or DJ without confirming who handles speech and award audio
- Putting the awards after dancing has started — the room never comes back
- Skipping uplighting in a bright function room; flat white light kills the mood
- No assigned point of contact on site the night of
